REGISTRATION GUIDELINES
How to register
- All registrations must be made through the Online Portal.
- First, create an account. After that, sign in to finish your registration.
- When registering for someone else, create an account with your details and enter the delegate’s information (with their consent).
- We recommend using a personal email address to avoid delivery issues.
- Additional items (e.g., social events or tours) can be added during the initial registration process or later to an existing registration via the Manage Registration → Edit Registration button.
- If you have not completed your payment, please log in to your account, go to Manage Registration → Edit Registration, and then proceed by selecting Proceed to Payment.
- A confirmation email with your registration number will be sent after submission

Registration Fees
All the above fees include a local VAT of 21 %.
All registration deadlines are based on the local time (CET/CEST).
* Student rate is available only for participants currently enrolled at a university or other institution of higher education. The student status must be valid at the time of the congress. Students are required to upload valid proof of their student status during registration.
Unpaid or partially paid registrations will not be considered valid until paid in full.
All fees must be paid in EUR, free of any bank charges.

To be eligible to attend the social events, all participants are kindly asked to register for the events during the registration process or to reconfirm or add their participation via the Online Portal.
Payment Methods
Registration fees are collected on behalf of ICRR by the Organizer, CZECH-IN s.r.o., 5. května 65, CZ-14021 Prague 4, Czech Republic. All fees must be paid in EUR, free of all bank charges.

The preferred method of payment is payment by card online via our secure payment gateway:

If your online card payment is declined, please try again through the registration form or contact your card issuer/bank.
Bank Transfer
Payment by bank transfer is available until 2 June 2027. After this date, all payments must be made by credit or debit card. Please ensure that the registered participant’s name and registration number are clearly stated in the bank transfer. Payments received without such details (name, registration number) cannot be easily identified and may not be valid.
Invoice
An advance (proforma) invoice/Call for payment is issued only upon email request.
The final invoice can be downloaded from the Online portal. The final invoice will be issued based on the details provided during the registration process (step Contact/Invoice details)
Any change of such details (name, address, VAT number, etc.) is possible and is subject to a 20 EUR administrative fee.
Cancellation/Refund Policy
General Cancellation Conditions
- Requests for refunds made after 10 May 2027 will not be considered.
- For any change of registration type, a fee of 20 EUR will be charged.

Cancellaton of Registration
The following cancellation charges apply:
- Until 30 March 2027, a 50 EUR administrative fee will be applied.
- From 31 March 2027 until 9 May 2027, a 50% cancellation fee will apply.
- From 10 May 2027 onwards, a 100% cancellation fee will be applied.
It is possible to change the name/contact of the registered participant. This change is subject to an administrative fee of 20 EUR.
Cancellation of Bookable Items
- Until 2 June 2027, a 20 EUR administrative fee will be applied.
- From 3 June 2027 onwards, no refund can be processed
Others
Visa & Invitation Letter
Delegates can download their Invitation letter from their account on the Online Portal once their registration is paid in full.
Certificate of Attendance
The Certificate of Attendance will be available for download in the Online Portal after the Congress for all participating delegates.
Photographs
Any images or visual recordings of participants taken during the event may be used by organiser for documentation of the event and promotion of future events, without any claim of the participants to any remuneration.
A participant may withdraw his or her consent to the use of the image at any time for reasonable cause contacting the ICRR Congress Secretariat at [email protected]. By participating in the event, the participant acknowledges that visual recordings may be made for the above purposes.
Insurance
The registration fee does not include the participant’s insurance against accidents, sickness, cancellation, theft, property damage, or loss. Participants are advised to take out adequate personal insurance.
Cancellation or Modification of the ICRR 2027 Due to Force Majeure
In the event of a force majeure situation, CZECH-IN s.r.o. reserves the right to alter or cancel the meeting without prior notice, including any change of the time and/or venue of the meeting. Any occurrence of a force majeure event shall be communicated as soon as reasonably possible from the time. Force majeure includes any circumstance beyond the reasonable control of CZECH-IN s.r.o., which prevents or impedes the realization of the meeting. This includes but is not limited to government action, war or hostilities, riot or civil commotion, plague, or other epidemic such as SARS, Covid-19, bird flu, earthquake, flood, hurricane, cyclone, fire, or other natural physical disaster, explosion, accident or breakdown, strike, lack of the usual means of transportation, or terrorism. CZECH-IN s.r.o. shall not be liable for any direct or indirect, incidental, consequential, punitive, or exemplary damages, losses, expenditures, or any other inconveniences or costs caused by such modification or cancellation of the meeting. Unless provided otherwise by the applicable mandatory laws, the registration fees will be reimbursed by the ICRR 2027 cancellation policy.

We take your privacy very seriously, and to comply with the European General Data Protection Regulation (GDPR) and other data protection consent requirements, we need you to confirm that you agree with our new Privacy Policy during the process of creating an account in our system. After creating your user account in our system, you can manage your information and protect your privacy and security via our Online Portal, which is now fully GDPR compliant.
